# Booking Workflow and Automation

## Understanding the Booking Workflow in AppointDash

AppointDash is designed to streamline the process of managing appointments through an intuitive and automated booking system. At its core, the booking workflow in AppointDash allows businesses to efficiently handle client appointments, reduce administrative burden, and enhance customer satisfaction. By integrating seamlessly with WordPress, AppointDash turns website visitors into scheduled clients with minimal effort. This ensures that businesses can focus more on providing quality services rather than being bogged down by administrative tasks. The workflow is crafted to be user-friendly, allowing both businesses and clients to easily navigate the booking process.

## How It Works: The Automated Scheduling Process

The booking workflow in AppointDash begins when a client visits your website and decides to schedule an appointment. Through a simple interface, clients can select a service, choose a preferred date and time, and provide necessary details. Once the appointment is booked, AppointDash automatically updates your calendar and sends confirmation emails to both the client and the service provider. This automation ensures that all parties are informed and prepared, reducing the risk of scheduling conflicts. Additionally, AppointDash supports reminders and follow-up notifications to keep clients engaged and reduce no-shows.

- Clients choose a service and available time slot.
- Automatic calendar updates and email confirmations are sent.
- Reminders and follow-ups are automated to ensure client retention.

## A Concrete Example: Booking a Spa Appointment

Consider a client looking to book a massage at a spa using AppointDash. The client visits the spa’s WordPress site, selects the desired massage service, and views available time slots. After selecting a convenient time, the client enters their contact information and confirms the booking. Instantly, the spa’s calendar is updated, and the client receives a confirmation email with appointment details. The spa staff is also notified of the new booking, allowing them to prepare in advance. As the appointment date approaches, both the client and the spa receive automated reminders, ensuring that the appointment is kept top-of-mind.

## Related Settings and Customizations

AppointDash offers various settings and customization options to cater to different business needs. Users can customize the booking form fields, set availability schedules for different services, and configure automated email templates. These settings ensure that the booking process aligns with the unique requirements of each business. Moreover, AppointDash allows integration with popular calendar applications, providing a comprehensive view of all appointments.

## Implementation of Booking Form and Customer Portal

AppointDash is implemented on your business's website by embedding a shortcode. Below is a list of the different shortcodes available and their functionality/implementation.

1. Booking Widget – [appointdash_booking_widget]

This shortcode displays the public appointment booking form on whichever WordPress page you add it to. It does not automatically include the customer dashboard. For example: [appointdash_booking_widget dashboard_page="/customer-portal"]. The dashboard_page parameter tells the booking widget where the customer dashboard is located. Replace /customer-portal with the actual path of your dashboard page. The page slug can be anything you choose. Without this parameter, the widget does not know where to send customers, so the Go to dashboard button will not have a dashboard destination configured.

2. Customer Dashboard – [appointdash_booking_dashboard]

This shortcode displays the customer portal, including login, upcoming appointments, and profile information. For example: [appointdash_booking_dashboard booking_page="/book-an-appointment"] The booking_page parameter tells the dashboard where the booking form is located. Replace /book-an-appointment with the actual path of your booking page. This allows the Book new appointment button to redirect customers to the booking form. You can also use [appointdash_booking_portal]. Both shortcodes display the same customer portal.

3. Page Names and Slugs

There are no mandatory page names or slug conventions. You can name your pages and choose their URLs however you like. You just need to pass the correct page path in the shortcode parameter so the pages can link to each other. For example: Booking page: [appointdash_booking_widget dashboard_page="/customer-portal"] Dashboard page: [appointdash_booking_dashboard booking_page="/book-an-appointment"]

4. Stripe and PayPal Redirects

Payment gateway redirects work separately from the shortcode parameters. No special page slug is required. After payment, customers return to your website, and the payment result is handled separately.

5. Back to Site Link

Under AppointDash → Settings → Payments → Back to site link, you can configure where customers go when they click Back to site on the payment result screen. You can enter the URL of your dashboard, a thank-you page, or any other page on your website. If left blank, it defaults to your website's home page. In short, the shortcode parameters connect the booking page and dashboard, while payment redirects are configured separately in the payment settings.
